Online voting for association elections
Give members a clear way to vote across chapters while you keep eligibility, candidates, deadlines, and the result organized.
What usually makes this election difficult
A newsletter list is rarely a reliable voter register. Confirm who is currently entitled to vote, including the membership cutoff, before sending any access.
Chapter officers may hold different versions of the member list. Bring corrections into one approved list so late additions do not become a dispute during voting.
Candidates deserve consistent treatment. Ask everyone for the same length of description and agree on the order before publishing the ballot.
A simple workflow
- Agree on the eligibility cutoff and officer positions using your bylaws.
- Reconcile chapter lists, remove duplicate entries, and check member email addresses.
- Prepare candidate information and test the ballot with sample voters.
- Provide individual access and communicate one closing time with its time zone.
- Finalize the result after closing and share it through the approved association process.
What Votes.ng helps you control
Officers can track which eligible members have participated while ballot choices remain separate from named participation. This gives the election team a useful turnout picture without turning the membership list into a list of preferences.
Prepare positions and candidate information, review eligible voters manually or by CSV, and try the complete journey in Test mode. Each eligible voter uses a personal voting link or their email and voting code. The organizer can follow participation without a named list of ballot choices.
When Live voting closes, finalize the aggregate result and choose whether to publish its result record. A voting receipt can confirm a recorded submission without showing candidate choices.
Associations launch checklist
- Current member list approved by the election team
- Candidate nominations and descriptions reviewed consistently
- Bylaws and dispute procedure reviewed
- Closing date, time, and time zone stated in every notice
- A member support contact assigned
Your bylaws decide eligibility, ties, quorum, and the result process. Confirm that their requirements fit the available ballot settings before launch.
Common questions
Can members vote from phones?
The ballot is designed for modern phones, tablets, and computers. Test it on the devices your members use.
Can an officer see a named member’s choice?
Organizer views show participation, not a direct named voter-to-choice record. Small groups still need care when interpreting totals.
What if a member’s email is wrong?
Correct and check the list in Draft or Test before paid launch. Live voter-list changes are restricted.
