This notice explains how Votes.ng handles information when organisations prepare and run elections with the service.

Who this notice is about

Votes.ng is an online-election service for organisations, operated under the Votes.ng name. Our contact address is Opp. SDA Church, Zaramaganda, Jos, Plateau State, Nigeria. For an election run by an organisation, that organisation may decide who is eligible, what the election is for and what result is shared. The organisation and Votes.ng handle information according to their respective roles.

Information the service may use

  • Account and organisation details used to provide account access and organise elections.
  • Election setup information, such as election dates, ballot questions, candidate details and voter contact details supplied by an organiser.
  • Invitation and access information needed to send voters their voting link or code and check eligibility.
  • Participation records used to enforce one submitted ballot per eligible voter, along with ballot-choice records used to calculate a result.
  • Payment and transaction information needed to confirm an election purchase, resolve payment issues and keep any records required by law. A checkout provider may collect payment details directly.
  • Support messages and limited service, delivery or security records needed to respond to requests and operate the service.

How election records are kept separate

The service is designed to keep a voter’s identity and participation record separate from the record of ballot choices. A completed ballot does not contain a direct voter identity reference. This separation is intended to protect ballot privacy; it is not a promise of perfect anonymity. Timing and other surrounding context may create a risk that records could be correlated.

Completed Live elections and their results are frozen. A legitimate completed vote is not deleted. Any correction, retention exception or legal hold needs careful review while preserving the election record.

Why information may be used

Information is used to create and manage accounts, prepare elections, deliver voting access, enforce eligibility and one-vote rules, calculate and verify results, process or confirm payments, provide support, protect the service and meet legal obligations. Organisations running elections should give voters and candidates appropriate information about their election.

Service providers

Depending on the feature and configuration in use, service information may be processed by providers in these categories: Supabase for sign-in and stored service data; Cloudflare for hosting and analytics; SendPulse for transactional email; and Paystack or Flutterwave checkout for payments. A payment-relay path may also handle payment-event or technical information. Contact-form enquiries are sent to [email protected] through SendPulse and are not stored in a Votes.ng database.

These providers may process information as needed to provide their services. Some provider settings and retention practices may vary by account and configuration.

Retention targets

The periods below are working retention targets. They describe intended handling and are not automated deletion guarantees. The service currently has no self-service account, organisation or election closure, personal-data export or deletion workflow. Provider copies, backups, legal holds and completed-election integrity records may be subject to different periods.

  • Account recovery information: Up to 30 days after the relevant recovery purpose ends.
  • Voter identity details: Detach or remove no later than six calendar months after the election purpose ends, unless a valid hold applies.
  • Invitation contact details: Clean up within 30 days after they are no longer needed for the invitation.
  • Support, security, delivery and privacy-request records: Six months after the matter is resolved, or longer while a complaint, claim, payment issue, security matter or justified hold remains open.
  • Accounting records: Up to six years only where applicable law requires it. This requires legal and accounting review.

Your privacy questions or requests

For support or privacy requests, contact [email protected] or use our contact form. Do not include passwords, voting codes, personal voting links, ballot choices or another voter’s information. If your request concerns an election managed by an organisation, that organisation may need to help handle it.

Children, security and updates

Organisations should consider who may take part in their election and provide any notices or safeguards appropriate to their participants. Votes.ng uses technical and organisational measures intended to protect service information. No online service can promise absolute security.
